Part-Time Accountant: Odoo

Resilient IT is seeking an experienced Accountant to take ownership of our company’s bookkeeping, accounting, payroll, financial reporting, and related business compliance activities.

We are a Northern Virginia-based Managed Service Provider and authorized C3PAO with approximately 10 staff members. We provide managed IT, cybersecurity, and compliance services, primarily supporting government contractors.

Our business operates in Odoo v17 hosted on Odoo.sh, with Stripe for customer payments, United Bank Bill Pay for vendor payments, and Gusto for payroll and benefits. A part-time developer is available to assist with technical improvements and integrations.

We are looking for someone who already knows how to maintain accurate books in Odoo, resolve accounting discrepancies, deliver timely financial reports, and help management make informed decisions.

What You’ll Do

Accounting and Bookkeeping

  • Maintain complete, accurate accounting records directly in Odoo.
  • Validate vendor bills against supporting invoices, including amounts, account classifications, purchase-order relationships, and supporting documentation.
  • Identify and correct duplicate, unrelated, or incorrectly entered transactions.
  • Maintain the general ledger, prepare journal entries, and manage accruals, prepayments, fixed assets, and other applicable accounting schedules.
  • Reconcile bank accounts, credit cards, payment-clearing accounts, payroll liabilities, and other balance-sheet accounts.
  • Investigate discrepancies and resolve outstanding items with clear supporting documentation.
  • Maintain organized records and a reliable audit trail.

Accounts Payable and Receivable

  • Manage vendor bills, payment schedules, customer invoices, credit memos, and aging reports.
  • Set up payees and manually enter and schedule approved payments through United Bank Bill Pay.
  • Follow company approval procedures before scheduling or releasing payments.
  • Reconcile Stripe payments, processing fees, refunds, disputes, and bank deposits to Odoo.
  • Apply customer payments accurately and follow up on overdue balances.
  • Coordinate with management to resolve billing questions and payment discrepancies.

Financial Reporting and Planning

  • Complete monthly close and deliver reports by the 15th of the following month, subject to timely availability of required information.
  • Produce monthly P&L, balance sheet, cash-flow statement, and A/R and A/P aging reports.
  • Provide quarterly and annual financial reviews.
  • Explain significant changes, cash-flow concerns, profitability trends, and outstanding accounting issues.
  • Develop and maintain an operating budget and financial forecasts.
  • Help management evaluate hiring affordability, staffing costs, recurring commitments, and growth plans.
  • Participate in scheduled financial review meetings and provide actionable recommendations.

Payroll and Benefits Administration

  • Prepare and process payroll through Gusto.
  • Validate hourly time recorded in Odoo, approved expense reimbursements, and sales/BDR commissions.
  • Record and reconcile payroll, benefits, taxes, reimbursements, and related liabilities in Odoo.
  • Coordinate and verify payroll filings and annual W-2 issuance through Gusto.
  • Maintain contractor information and prepare or coordinate applicable 1099 filings.
  • Resolve payroll discrepancies promptly and confidentially.

Tax and Business Compliance

  • Manage the company’s tax and business-filing calendar.
  • Prepare business tax returns and supporting schedules, or coordinate preparation and review with an external tax professional when needed.
  • Support tax planning and estimated-payment calculations.
  • Review tax notices, gather supporting information, and coordinate timely responses to federal, state, and local authorities.
  • Handle applicable annual state business reports, good-standing requirements, and county business-license registrations and renewals.
  • Identify filing obligations and bring potential issues to management’s attention before deadlines.

Process Improvement

  • Document accounting procedures, monthly-close checklists, and recurring responsibilities.
  • Improve Odoo accounting workflows and reduce avoidable manual work.
  • Work with our developer on approved integrations, reporting improvements, and automation.
  • Maintain appropriate access controls, payment approvals, and confidentiality.

What We’re Looking For

  • At least five years of progressively responsible accounting experience, including independent responsibility for a small company’s books and monthly close.
  • Demonstrated hands-on experience with Odoo Accounting is required, preferably Odoo v17 and Odoo.sh.
  • Strong knowledge of double-entry accounting, general-ledger maintenance, reconciliations, financial statements, and cash-versus-accrual accounting.
  • Experience managing accounts payable, accounts receivable, and payment-processor reconciliation.
  • Experience processing payroll through Gusto or a comparable platform.
  • Ability to develop budgets, cash-flow forecasts, and practical financial analysis.
  • Familiarity with business tax preparation, payroll reporting, 1099 requirements, and recurring business filings.
  • Strong Excel or spreadsheet skills, including formulas, lookups, pivot tables, and data validation.
  • Excellent written and verbal English communication skills.
  • Dependable, organized, detail-oriented, and comfortable working independently.
  • Ability to meet deadlines, identify problems proactively, and communicate clearly without repeated follow-up.
  • Must be a U.S. person residing in the United States. All work and access to company systems must occur within the United States.
  • Willingness to use company-approved systems and follow our security and confidentiality requirements.

Preferred Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Active CPA license or Enrolled Agent credential.
  • Direct experience preparing business income-tax returns and handling tax correspondence.
  • Experience with Stripe, Gusto, and bank bill-pay platforms.
  • Experience supporting an MSP, IT services company, cybersecurity firm, or other professional-services business.
  • Familiarity with subscription revenue, recurring billing, service margins, and project profitability.
  • Experience with Virginia business filings and local business-license requirements.
  • Odoo certification or experience working with an Odoo accounting or implementation partner.
